The Position

Solidus Labs is looking for an Admin Manager for its Wall Street offices in NYC. The Admin Manager will play a key role in helping us scale our operation and team quickly but sustainably, and in the evolution of Solidus Labs' company culture. Working in our global headquarters, the Admin Manager will work closely with Solidus Labs' leadership and gain exposure to multiple facets of our operations, making this a great position for future growth within the company.

Responsibilities

  • Oversee and support all administrative duties in the office and ensure that the office is operating smoothly
  • Manage office budget, expenses reporting, credit cards, and time attendance reports
  • Support the finance department with different responsibilities such as invoicing, dunning, vendor relations, equipment procurement, and other projects that may be needed from time to time
  • Develop office policies and procedures
  • Operate multiple internal systems including but not limited to G-suite, HiBob, Dropbox, Slack, etc.
  • Manage and maintain office operations including maintenance, mailing, supplies, equipment, bills, errands, shopping
  • Highly involved in HR processes including:
  • Responsible for on-boarding and off-boarding processes.
  • Responsible for employee welfare and office culture: Happy hours, holidays, special occasions, team & company events, etc.
  • Maintain global connections with our sites around the world, striving to increase global engagement.
  • Be the focal point for the employees and assist in all matters.

Required skills

  • Proven experience as an Office Manager, Front Office Manager, or Administrative Assistant. This includes managing reimbursements, bank payments, procurement, vendors, and customer invoicing and dunning.
  • Experienced with Microsoft Office applications, specifically Excel.
  • Experience with all or some of the following - HubSpot (or other CRM), Expensify, Quickbooks, NetSuite- an advantage
  • Ability to work in a fast-paced, deadline-driven environment
  • Must be a self-starter, driven, and have strong problem-solving skills
  • Excellent interpersonal communication, analytical skills and a healthy business judgement
  • Strong organizational skills, time management, ability to prioritize, and attention to detail
  • Ability to adapt quickly to changes, work independently and interact with many internal and external stakeholders
  • Familiarity with the finance, crypto and risk & compliance industries - an advantage 
  • Quick learner - the ability to do the research and learn whatever it takes in order to help Solidus reach its goals.
